Quality Management (QM)/Practice Resource Planning (PRP) Software

Quality Management (QM) is a method for ensuring that all the activities necessary to plan, develop and implement a (healthcare) service are effective and efficient with respect to the system and its performance. In a healthcare environment QM is key for the future with more and more complex requirements and workflows.

PRP stands for Practice Resource Planning (HRP= Hospital Resource Planning). PRP/HRP systems typically attempt to cover all basic functions of a healthcare organization, regardless of the organization's specialty and focus. Hospitals, clinics, ophthalmic offices, non-profit organizations, non-governmental and governmental organizations and other large entities in eye care utilize PRP/HRP systems.

Sophisticated software applications in the area of Quality Management (QM) and Practice Resource Planning/Hospital Resource Planning have been developed by ifa systems AG.

The QM software supports certification and accreditation processes and allows the introduction of an individual or standardized concepts (e.g. ISO 900X).

Resource Planner

Functions
The Resource Planner for the ophthalmic practice offers comprehensive functions for clear coordination of personnel capacity and scheduling. Resources are managed specifically to each staff member. The following entries can be made in the Resource Planner:

 

  • Productive times in all areas
  • Holidays
  • Sick days
  • Internal and external appointments
  • On call (locum, etc.)

 

The data from the Resource planner can be viewed comfortably on the screen for each day, week or month. The staff members can be allocated to workgroups or individual areas and displayed accordingly (e.g. practice, orthoptics, OP, etc.). Within the Resource Planner, different tasks and the minimum department coverage can be managed. During holidays or outside appointments when the minimum coverage has not been met the system will inform you.

 

Requirements
The Resource Planner for the ophthalmic practice is a module of the QM and PRP (Practice Resource Planning). Prerequisite is the basic model of the Quality Management practice or Ophthalmo Surgery (Database pool). Running systems Windows 2000 and newer are supported, The Resource Planner can be used independent of the ifa Practice System.

 

Training / Consultation
For support in pre-setting the system with personnel data, department groups, appointment categories, etc. it is recommended to have a ½ day training / consultation. This can be covered in the workshops that are on offer.

 

Benefit
The Resource Planner offers very high benefits in relation to investment. Transparent organisation of resources in the ophthalmic practice can save on time and nerves. Furthermore, the optimal use of capacity can have concrete economical benefits (more income with the same staffing).


OP Plan Generator / Surgery Module

Brief Description
The OP Plan Generator is a module developed specific to ophthalmic surgery. It makes all patient data for surgery available within a specific time period. The data from the patient with all relevant information from the medical record can be transferred into the OP plan at a later point. Since the requirements for ophthalmic surgeons on overviews of the planned OP/surgery are quite varied the OP Generator is flexible. Besides the basic patient data diagnoses and remarks, findings etc. can be transferred .The OP plan can be viewed on the computer screen as well as printed out on different formats.

Requirements
The use of the OP Plan Generator requires the OP Documentation and electronic Patient Record modules. Appropriate printers are required for printouts. Ask ifa's technical department for the current printer offers.

Training/Consultation
The OP Plan Generator offers a multitude on possibilities in design but also in connection with the Patient Manager. The Print function also offers a variety of designs. An intense short consultation or training is sensible for proper use of the program.

Benefit
To create an OP plan with conventional methods (e.g. with Word or Excel) would be very time consuming. Transferral errors can also be made when entering data manually. Once the OP Plan Generator is preset, it is quick and easy to create OP plans daily. The benefits are very positive in relation to the low investment for the license .


Practice Organizer

Brief Description
The Practice Organizer is a practical combination of 3 modules:

  • Task Manager
  • Practice Manual with Outline
  • Digital Archive

The Task Manager reminds the entire practice team on a daily basis to repeat individual tasks. The two databases can access the Practice Manual immediately. This makes checklists available by a keystroke. The Task Manager comes with over 100 prestructured tasks. Depending on the individual requirements of a practice these can be used in the practice. This module is ready to use in just one hour, what makes it easy for the entire staff. The Practice Manual with QM outline is a so called Content Management System. In the Practice Manual, all organisational documents are stored and managed. These can include, work instructions, procedural instructions, checklists and forms. The Digital Archive is the ideal instrument for managing logs and other original documents electronically. It completes the Practice Manual for every day use.

Requirements
The Practice Organizer is independent of the practice software. It can be installed and used in any network system with Windows (XP and newer).
In order to use the Digital Archiv,e a scanner with the corresponding interface is required. For managing documents in the Practice Manua,l a licensed version of Word is necessary.

Training/Consultation
The comprehensive functionality of the Practice Organizer can be learned in a half day. Though this is necessary in order to professionally understand the personal database, the authoring system for the Practice Manual.

Benefit
The benefits of the Practice Organizer are significant. It optimizes the practice organisation and thus creates more time for patients. The QM subscription introduces a qualified quality management system in the practice.
